How to invite your team-mates to your team on Panka

In short

Invites are created by an administrator: in Settings open “Invites”, tap the “+”, choose the “Assigned role” and tap “Create invite”. Then, with “Share”, send the code to the team chat: whoever receives it enters it in the app and joins.

Team-mates who don’t use the app can still be added to the roster, from Settings → “Players” → “+”. When they arrive, they will link their account to that card.

Who can invite

Invite codes are created and managed only by administrators: they are the only ones who see the “Invites” row in Settings. The coach can still add cards in “Players” and approve “Association requests”.

In the demo team you can’t create a code: nobody can join a demo team.

Create the code

  1. Open “Invites” In Settings, under “MANAGEMENT”, tap “Invites” and then the “+”. While the roster is empty you can also get there from the Home, with “Invite to team” among the “QUICK ACTIONS”.
  2. Choose the role In “New invite”, “Assigned role” decides the role of whoever uses the code: “Player”, “Coach” or “Administrator”. It starts on “Player”; for different roles, create different codes.
  3. Set limits, if you need them If you leave “Expiry date (optional)” and “Max uses (optional)” empty, the code never expires and can be used as many times as you like. Be careful with the date: the code stops working at the start of the day you choose, so if it has to work until Sunday, set Monday.
  4. Decide about the card “Create player automatically” is already on when you open the form: whoever joins and doesn’t recognise themselves in a card already on the roster creates their own, with name and position, starting at a cost of 1 credit. With it off, whoever can’t find their card joins without one.
  5. Tap “Create invite” The code appears under “Active”, with the role, how many times it has been used and, if there is one, the expiry date.

Send it to your team-mates

On the code’s row, “Share” opens your phone’s share sheet with a ready-made message containing the team name and the code. What you send is the code, not a link: whoever receives it enters it in the app. It is best to copy and paste it, because it has to be typed exactly as it is, with capitals and hyphens.

“Share card”, on the other hand, prepares an image with the code, to send to the group chat.

An invite for a specific card

If the roster has cards not yet linked to an account, “Invite for one card” also appears in the form. Choose your team-mate’s card: whoever uses the code is linked to that card straight away, with no request to approve.

That is why a personal invite works only once and should only be sent to that person. In the list, the code’s row says who it is for.

What newcomers see

Whoever receives the code types it in “Invite code” and taps “Join the team”; if they are already in another team, they start from Settings → “Join with a code”. Then, depending on the invite:

  • if there are free cards on the roster, the app asks “Are you one of them?”: with “That’s me” they pick theirs and an association request is sent, with “None of these” they carry on;
  • if the invite creates the card, they fill in “Your player card” and tap “Create the card and join”, or “Join without a card”;
  • with an invite for a card they read “This invite is for you” and join already linked;
  • if the code gives the coach or administrator role, the card chosen with “That’s me” is linked straight away, with no request.

They join the team straight away in every case: a pending request only concerns the card.

Approving association requests

When someone says they are one of the roster cards, the coach and administrators get a notification, if they have notifications turned on, and a box with the pending requests appears on their Home, with “Go to the requests”.

You can also find them in Settings → “Association requests”, with the number next to it. Check who it is and which card they are asking for, tap “Approve” or “Reject” and confirm: if you approve, the card becomes theirs. The person who asked gets a notification with the outcome.

Team-mates who don’t have the app

Not everyone needs to download Panka: the roster is made up of cards, and a card can be called up, get ratings and be fielded even if it isn’t linked to any account. Cards are created by the coach or an administrator:

  1. in Settings open “Players” and tap the “+”;
  2. in “New player” type the “First name” and “Last name”, which are required, and, if you like, a “Nickname” and a “Photo”;
  3. choose the “Position” on the pitch and the “Cost”, then tap “Add”.

Linking an account to an existing card

When that team-mate arrives in the app, there are three ways:

  • you send them an invite for their card, and they join already linked;
  • they join with an ordinary code and choose their card in “Are you one of them?”, or later from “Profile” → “PLAYER” with “Link to a player”; the request then has to be approved;
  • if they are already in the team, you link them yourself: in “Players” open their card, choose them in “Linked user” and tap “Save”.

“Linked user” doesn’t list coaches or anyone already linked to another card.

Frequently asked questions

Can I send a link instead of the code?

Not from the app: “Share” sends the code. Whoever receives it enters it when they join Panka, or in Settings → “Join with a code” if they already have a team.

Why doesn’t the code work any more?

It has expired, reached its maximum number of uses or been deactivated: you’ll find it under “Inactive”, marked “Expired”, “Used up” or “Deactivated”. A code like that can’t be reactivated: create a new one. If, on the other hand, it is still under “Active”, check that your team-mate typed it with the right capitals and hyphens.

How do I block a code I have already sent?

In “Invites”, on the code’s row, tap “Deactivate” and confirm: from that moment it can no longer be used. Anyone who has already joined stays in the team.

A team-mate has joined but isn’t linked to their card: what do I do?

Look in Settings → “Association requests”: if their request is there, approve it. If it isn’t, link them yourself from their card in “Players”, with “Linked user”. If in the meantime they created a new card, choose “No linked user” on that one and save, link them to the right card, then delete the duplicate with the bin icon and “Delete permanently”.

Can the coach invite people?

No, invite codes are created only by an administrator. The coach can, however, add cards in “Players” and approve association requests.
